Your mission:
As our Office and People Admin Specialist, you’ll ensure the smooth day-to-day running of our Berlin office and support key People admin and operational processes. From managing an organised, welcoming workspace to handling HR admin and team support, you’ll help create a great experience for all our employees, both in-office and remote.
This role is ideal for someone who thrives in a fast-paced, dynamic environment and enjoys bringing structure and clarity to the everyday. Your responsibilities:
Office Management
- Oversee day-to-day office operations to maintain an organised and welcoming environment in our Berlin office, act as the first point of contact for all office-related and on-site employee needs.
- Manage office logistics, including supplies, vendors, maintenance, and workspace setup.
- Set up new joiners with hardware, system access, and a ready-to-go desk.
- Coordinate with IT and Operations to ensure smooth onboarding workflows.
- Handle office-related budgets, vendor relationships, and invoicing.
- Support the planning and execution of in-person and remote events and team gatherings to foster team connection and engagement.
- Coordinate onboarding and offboarding logistics, including documentation, system access, and internal checklists.
- Manage core People/HR admin tasks such as maintaining employee records, producing contracts, supporting payroll and benefits coordination, and ensuring compliance with local employment laws.
- Maintain and update internal systems and tools (e.g. HRIS (Personio), Notion, Slack) to support People Operations.
- Support continuous improvement of workplace policies, processes, and templates to enhance employee experience and operational efficiency.
- Availability: We’re ideally seeking someone who can start at short notice; early availability will be prioritised.
- Location: You’re based in Berlin and able to work from the office at least three days per week.
- Languages: You communicate clearly and confidently in both English and German (minimum B1), across in-person, written, and virtual settings.

- Relevant experience: You’ve worked in People Ops, HR coordination, or office management, ideally in a fast-moving setting.
- Tech-confident: You’re comfortable using tools like HRIS, Slack, and Notion to stay effective.
