Job Description
As a Mail & Office Support Operator in Digital & Workplace Solutions, you provide high-quality mail, scanning, and office support services that help our Berlin office operate efficiently and professionally. You work as part of a small on-site team, using digital and technical solutions—such as package lockers, scanners, and tracking devices—to deliver services to agreed deadlines and quality standards. You'll be based in Berlin and report to a direct manager in our Frankfurt Head Office, following global control procedures to keep processes robust and well managed.

As a Mail & Office Support Operator in Digital & Workplace Solutions, you provide high-quality mail, scanning, and office support services that help our Berlin office operate efficiently and professionally. You work as part of a small on-site team, using digital and technical solutions—such as package lockers, scanners, and tracking devices—to deliver services to agreed deadlines and quality standards. You'll be based in Berlin and report to a direct manager in our Frankfurt Head Office, following global control procedures to keep processes robust and well managed.
Job responsibilities
- Receive, sort, distribute, and ship incoming and outgoing mail and packages in line with required quality standards
- Operate package locker, scanning, and tracking solutions to support a controlled and transparent process
- Scan, index, and route documents using agreed document management practices and tools
- Monitor service deadlines and daily volumes to meet productivity expectations
- Support clients with basic office solutions, including stationery requests and distribution
- Assist with minor issues on office print devices and coordinate support when escalation is needed
- Maintain accurate logs and records for mail, shipping, scanning, and related activities
- Prepare and manage meeting facility support tasks as needed to enable a professional client experience
- Follow global control procedures consistently to ensure robust, compliant processes
- Communicate clearly with on-site stakeholders and your Frankfurt-based manager on service status and issues
- Experience performing mailroom, shipping/receiving, scanning, or office support operations
- Ability to meet established deadlines, quality standards, and productivity expectations in a service environment
- Confidence using digital tools and office technology (for example scanners, tracking devices, and print devices)
- Strong attention to detail when handling documents, labels, and service tracking records
- Customer-focused mindset with a professional approach to on-site support
- Ability to work effectively as part of a small team in a new office environment
- Clear written and verbal communication skills to coordinate requests and updates
- Ability to follow defined procedures and controls consistently
- Experience supporting document management processes and basic record-keeping workflows
- Familiarity with package locker workflows and high-volume mail handling
- Experience providing meeting room or client facility support in an office environment
- Comfort troubleshooting minor, routine issues with print devices and escalating appropriately
